Our director suspected some of our colleagues who have
sold the confidential information to competitors but we
lack proof. How can we prevent users from Printing, Taking
files out of office and Capturing screen?
Thank you very much in advance for your suggestions.
Remove printers from the office, disable all USB and other interfaces from computers, and confiscate cell phones and cameras at the door...or you could just remove the colleagues in question so you don't inconvenience everyone else.
Purchase and use the Digital Rights Management package from
PTC. It has those capibilities, usually those are used for
outside people, however you should be able to apply the DRM
to inside users as well.
Printing: You're not going to prevent this unless you convert everything to something like PDF and prevent printing. Or get rid of printers, but like telecomguy said, not very practical.
Stealing files: Disable USB access on all computers, and disallow email attachments.
Screen Capture: You can disable Print Screenassuming you are on windows, and then restrict all user privliges in order to prevent alternative screen capture software from being installed.
In reality, all this will do is hinder the employees who actually work hard at your company. If you suspect someone, get some monitoring software and get proof. Then get rid of them.
I have heard that Curtain e-locker provides this type of protection. You can use it to restrict function "Printing, Taking files out of office and Capturing screen" with various settings on user workstations and file servers. Users will have to save files at the same folders (Protected Zones Only). The link below is for your reference.
